Case study: a Mumbai clearing agency, off Excel and onto one system
The client: a customs clearing and forwarding agency (CHA) in Mumbai, handling import shipments and the documentation that moves with them. Name withheld for now.
The build: one system for the whole operation, newly live. The team now runs every job and document inside it, and every importer gets a live view of their own shipments.
Before: the Excel sheet that ran the company
Like most clearing agencies, this one ran on a spreadsheet. Every importer's documents, every job, every status update lived in Excel, maintained by hand, by whoever touched it last.
The cost was not just hours. When an importer wanted to know where their shipment stood, they called. And because the answer lived in the sheet, the calls went up the chain to the founders. The people who should have been winning new business were spending their days reading status updates over the phone.
This is the pattern we see in almost every audit: the business is not short of effort, it is short of a single place where the truth lives.
What we built
Two views of one system.
For the team: the daily workflow, automated. Jobs move through their stages, documents attach to the job they belong to, and the sheet-keeping work that used to eat hours disappears. There is one source of truth for every document and every job, so nobody reconciles versions or hunts through folders and chats.
For the importers: their own view. Each importer sees the latest status of their shipments and every relevant document, whenever they want, without calling anyone. What used to be a phone call to a founder is now a login.
The same build serves both sides: the team saves the hours, and the importers get an experience no spreadsheet-run competitor can offer.
The part the owner did not expect
After the first meeting, we came back with a working prototype within a day. Not a proposal document. A tool the owner and his team could click through, react to, and correct.
That speed is not a party trick. It is how the scope gets locked honestly: when the client's team reviews something real before the quote is agreed, the things that usually surface as mid-project surprises surface on day one instead, while changing them is still free.
In the owner's words:
"It just clicked with the SAAR team. I had spoken with multiple vendors, but SAAR came back with a working prototype within a day of our first meeting. That gave me real clarity, my team could review the entire tool, and our scope was locked. This system will save my team serious time, and the experience it gives my importers helps me stand out as a CHA and win new clients."
The early numbers
of staff time returned across the team, by the client's own estimate, once the spreadsheet upkeep, version reconciling, and status calls are gone.
The system is newly live, so the honest version is an estimate. We will update this page with measured results as they come in.
What this changes for a clearing agency
A CHA sells trust and responsiveness. The agency that can show an importer their shipment and documents in real time is not competing on the same field as the agency that says "I will check and call you back."
That is the pattern worth copying whether you clear shipments or run a factory: the systems that pay for themselves fastest are the ones that remove the founder from the middle of routine questions and put the answer where the customer can see it.
Find the build your business is waiting for
This build started the way all of ours do: an audit of how the operation actually runs, one recommendation, one quote agreed upfront. If your business runs on spreadsheets and phone calls, the audit will find your version of this system.
